How do I write a meeting agenda?

Start with the goal of the meeting, then list the topics that serve it. Give each topic a lead, a time limit and a type: information, discussion or decision. Put decisions early, add up the minutes to check they fit the time you have, and send the agenda with any reading a day ahead.

  1. Pick a preset or start from the team weekly.
  2. Type the date, the start time and the planned end.
  3. Write the goal and anything people should prepare.
  4. Edit the items: topic, lead, type and minutes. Watch the clock and the warning.
  5. Download the PDF or Word file, or copy it as an email.

What should a meeting agenda include?

The meeting name, date, start and end time, and the room or video link; the goal; who leads and who is invited; every topic with its lead and its minutes; and anything people should read or bring beforehand. This maker has a place for each, plus a type for every item so people know what is expected.

What is the order of a board meeting agenda?

The standard order of business in Robert's Rules of Order runs from call to order and approval of the previous minutes through reports, unfinished business and new business to adjournment. Your bylaws may set a different order, so check them. The board meeting preset uses the standard order, with a time for each item.

How long should each agenda item be?

Size each item to the work it needs. Try 5 minutes or less for information people can read beforehand, 10 to 15 for a discussion, and about 10 for a decision with clear options. The team weekly preset shows the split: 5, 10, 15, 10 and 5 minutes fill a 45-minute meeting.

How do I turn an agenda into meeting minutes?

Press Turn this agenda into minutes. The minutes maker opens a new draft with the meeting name, date, place, chair, note taker, attendees and each item as a line to fill in. Notes, decisions and action items start empty, and the call to order and adjournment lines come from the minutes settings.

Open the meeting minutes template yourself and your other drafts stay as they are.
