How to write a resignation letter

Address the letter to your manager and say in the first sentence that you are resigning, from which position, and your last day. Add a short thank-you and an offer to help with the handover, then sign off. Keep it brief and positive, and leave complaints out.

  1. Pick a design and a tone.
  2. Type your name and your manager on the letter.
  3. Set the notice or a last day.
  4. Tick thanks and handover if you want them.
  5. Download the PDF or Word file, or Copy text for an email.

What to include

  • The date, and your manager's name, title and company.
  • A subject line, such as Resignation, followed by your name.
  • One sentence that states you are resigning, your position, and your last day.
  • An optional thank-you, and an offer to help with the handover.
  • A closing and your name, with room for a signature above it.

Sample structure

The maker builds the letter in this order, and you can type over any paragraph. It opens with the notice, such as: "Please accept this letter as formal notice that I am resigning from my position as cashier at Green Street Market. My last day of work will be October 27, 2026." A thank-you comes next, then the handover offer, then a line asking what your manager needs before you leave, then "Sincerely," and your name.

How much notice to give

Your employment contract, union agreement or employee handbook sets what you owe, and the two weeks notice section below shows the usual case. Type the notice in days and the maker counts forward from the letter date to your last day. It warns you if that day falls on a weekend.

Pick the tone that fits

Six tones change the wording and keep the same structure. Standard is the default. Grateful adds warmer thanks. Short and simple uses one or two sentences. Effective immediately sets your last day to the letter date and apologizes for the short notice. With a reason adds a sentence you write. Retirement says you have decided to retire.

What does a two weeks notice letter look like?

It is a short resignation letter that names a last day two weeks after the date you hand it in. With 14 days of notice from October 13, 2026, the letter names October 27, 2026. Hand it in on a working day, keep a copy, and set the notice to what your contract asks.

Here is the opening the maker writes for a cashier: "Please accept this letter as formal notice that I am resigning from my position as cashier at Green Street Market. My last day of work will be October 27, 2026."

Two weeks is a common courtesy in the US, but your employment contract, union agreement or employee handbook may ask for more or less. Check it, and set the notice to match.

This page is for any resignation letter. If you only need the short version with the last day fixed two weeks out, the two weeks notice letter maker has six ready situations, a work-day count and email subject lines.

Should I give a reason for resigning?

You do not have to. A plain letter that states your last day is complete and professional. If you want to share a reason, such as a move or a new role, keep it to one or two neutral sentences. Pick the tone With a reason to add it, and leave out anything you would not want in your file.

Can I resign by email?

Yes, if that is how your workplace usually communicates. Press Copy text and paste the letter into an email, with a subject line such as Resignation, Your Name. You can also attach the PDF, so there is a signed, dated copy on file. Tell your manager in person or by phone first if you can.

A resignation follows the same layouts as any business letter; the business letter format page compares them.

Limits

  • Not legal advice. Notice rules can come from your contract, a union agreement or local law.
